Understanding Wedding Planning & Venue Coordination in Lancaster, PA

Planning a wedding is an exciting time, but with so many details to coordinate, it can also feel overwhelming. From choosing a wedding venue and booking vendors to creating a timeline and making sure everything runs smoothly on the big day, couples often have more questions than they initially expect. One question that comes up frequently is: If my wedding venue offers a Venue Coordinator, do I still need a Wedding Planner?

The answer depends entirely on the type of support you want and how involved you’d like to be in the planning process. A Venue Coordinator, Wedding Planner, and Day-Of Coordinator each play a different role, and understanding those differences can help you determine which professionals you need to achieve your dream wedding.

It is our honor to host such a beautiful and momentous occasion in a couple’s journey together. That’s why, at the Eden Resort & Suites, our wedding package includes a Venue Coordinator who is here to assist with the venue-specific logistics of your celebration. From preparing the layout of your room and organizing the Banquet Event Order to coordinating with other hotel staff on your wedding day, the onsite Venue Coordinator helps to ensure that your celebration at the Eden Resort & Suites is seamless.

You might be thinking - that all sounds great, but does that mean I don’t also need a Wedding Planner and/or Day-Of Coordinator?

Not necessarily.

What Does a Wedding Venue Coordinator Do?

When you’re researching wedding venues in Lancaster, PA, it’s beneficial to look at more than just the ceremony spaces, reception rooms, menus, and guest accommodations. The coordination support provided by your wedding venue can also have a big impact on your overall wedding experience.

At the Eden Resort & Suites, our Venue Coordinator begins working with you approximately three months before your wedding. During that time, they focus on the details associated with hosting your wedding celebration on the property.

The Venue Coordinator creates your room diagram and layout, including all of the tables and chairs needed for your event. They will also prepare your Banquet Event Order (BEO), which includes your venue timeline, food and beverage details, linens, and other venue-related information.

On the day of your wedding, the Venue Coordinator focuses on the physical and operational aspects of the property. Their role is to help manage your event within the hotel, coordinate with fellow Eden Resort staff members, and make sure the venue itself is prepared to properly host your special celebration.

Additionally, if you’re having your wedding ceremony at the Eden Resort & Suites, the Venue Coordinator can also assist you with arranging an onsite ceremony rehearsal based upon availability.

Is a Venue Coordinator the Same as a Wedding Planner?

To put it simply, no. While a Venue Coordinator and Wedding Planner both work to keep the details of your wedding organized, their responsibilities are not the same.

Your Venue Coordinator works directly for the venue. Their primary duty is to represent the property and make sure the event runs smoothly from the venue’s perspective. At the Eden Resort & Suites, this includes managing venue logistics, room setup, and coordination with our team.

A Wedding Planner, on the other hand, works entirely for you. Your Wedding Planner could be involved throughout the entire planning process, helping with everything from developing a budget, selecting vendors, making design decisions, and creating a detailed wedding day timeline.

This is one of the most important distinctions to understand when comparing a Wedding Planner vs. Venue Coordinator.

The Venue Coordinator knows the property and focuses on ensuring that everything goes as planned while there. Meanwhile, your Wedding Planner is focused on your overall wedding experience, regardless of whether a particular detail involves the venue.

For couples planning a wedding in Lancaster, PA, having both roles to give you support can provide an extra level of reassurance. The Venue Coordinator can focus on the details of your location, while your Wedding Planner focuses on the bigger picture.

What Does a Day-Of Coordinator Do?

If you’re not looking for full-service wedding planning, you may be wondering whether a Day-Of Coordinator is a better fit for your needs.

Typically, a Day-Of Coordinator becomes more involved in the months or weeks before the wedding. Their role might look like finalizing specific details with you, communicating with vendors on your behalf, managing off-site rehearsals and ceremonies, and helping manage your personalized wedding-day schedule.

This support can be especially helpful for couples who have handled most of the wedding planning on their own but don’t want to worry about answering questions or keeping track of a timeline on their wedding day.

A Day-Of Coordinator can essentially be the person that you, your family, and your wedding party turn to when questions arise, allowing you to stay in your special moment and focus on celebrating the big day.

What Doesn't a Wedding Venue Coordinator Do?

Understanding what the Venue Coordinator does not do is just as important as understanding what they actually do.

At the Eden Resort & Suites, our Venue Coordinator does not manage any off-site logistics, including ceremonies, vendors, or decor - with a few exceptions. Decor cleanup by Eden Resort banquet staff is available for an additional fee.

This information is helpful to keep in mind when determining whether you could benefit from additional wedding planning support.

For example, if you’re having your ceremony somewhere other than the Eden Resort & Suites, working with various off-site vendors, or want someone specifically dedicated to managing your personal wedding-day timeline and decor, a Wedding Planner and/or Day-Of Coordinator may be able to offer valuable assistance.

With so many beautiful and versatile event spaces available at a conveniently located destination, the Eden Resort & Suites is the perfect option to make your dream wedding ceremony a reality.

How Can a Wedding Venue Coordinator Help Make Planning Easier?

One of the benefits of choosing a wedding venue with a coordinator is having someone who already knows the property, its spaces, and its functional details.

The Eden Resort & Suite’s current wedding package includes multiple ceremony and reception settings, wedding menu packages, and other wedding-related amenities, giving couples the opportunity to keep their celebration in one breathtaking location.
